Admin Officer

An Administrative Officer is a key member of an organization who provides administrative and clerical support to ensure the smooth operation of the office. 

Job Responsibility

  • To follow HOD daily tasks given and to support any administrative-related matters from HOD or Dept. Superior.
  • To assist HR/Admin Executives with any outstanding or urgent concerns.
  • Provide administrative support to Top Management (calendar, note-taking, travel, filing expenses, preparing briefings, etc.).
  • Plan strategic trips abroad including managing all logistics (flights, ground, hotel, visas) and managing the agenda.
  • Take notes in team meetings and distribute action items to the relevant members of the team.
  • Handle all day-to-day immigration-related issues, partnering with external partners, internal stakeholders, and outside legal counsel for document processing of nonimmigrant visas and work permits, immigrant applications, permanent residency sponsorship, and travel/visa stamping renewals, as well as other tasks needed to support immigration and work permit programs
  • Supervise administrative staff (drivers/cleaners) and divide responsibilities to ensure performance • Coordinate with Admin personnel for outstanding administration concerns, to report to the supervisor for any critical issues that need immediate solutions.
  • Ensure the operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; and evaluating new equipment and techniques.
  • Maintaine supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
  • Support all compliance audits together with Admin personnel. • Responsible for the renewal process of all permits & certifications required by local law, buyers, and audit standards.
  • Monitoring of all Documents, Policies, procedures, permits, licenses, and certificates. Ensure all documents are available valid up to date.
  • In charge of all HR/Admin Refreshment Training based on yearly training schedule with training report.
  • To ensure cleanliness and good housekeeping of Offices; Meeting Rooms, showroom, PD production, and Garden/pool maintenance.
  • In charge of worker transportation, arrange payment for monthly truck rental, and survey the transportation.


Job Duties

  • Ensure all CSR and Administrative records /reports are well-maintained
  • To manage the 7S within the facility /maintaining good housekeeping.
  • To follow management / HOD instruction with administrative matters.
  • To ensure all facilities are adhered to company COC/Buyer COC and Standard. 


Requirements

  • Diploma or courses/Bachelor's Degree in Psychology, Human Resources, and Business Management or related field. 
  • At least 7 years of working experience in garment production manufacturing, or any related industry.
  • Must possess strong interpersonal skills, articulate and written English, and Chinese (Mandarin) is an advantage.
  • Computer literate, in Microsoft Word/ Excel, ERP, and other office applications.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills • Strong organizational and planning skills • Pleasant personality, positive attitude.
